Checking Clearance

Before you submit an application, you can check clearance to determine whether the submission already exists in Geaux. Only submissions that have already been submitted and marked as Clear will return a matching result. If matching submissions are in Draft or Submitted (prior to being marked Clear) status, they will not return a match.

Check Clearance Submission Matching

The status of the existing submission determines the way that Geaux performs the clearance matching.

The primary criteria for the clearance search, which are used for all statuses (with some additional parameters for some statuses, as described in the following sections) are an exact match on the FEIN of the submission or on any of the submission's DBA organizations and the rating bureau ID (for example, WCIRB, NCCI, and so on). For the following statuses, only those criteria are used:

For other statuses, the effective date is used with the basic criteria to determine a match, as described below.

Submission Matching Based on Effective Dates within 90 Days of New Submission's Effective Date

For submissions with the following statuses, the clearance search is also based on the effective date of the new submission being within (+/-) a configurable number of days (90 is the default) of the effective date of the existing submission.

For example, if the new submission has an effective date of 6/1/08, the clearance search will return any submission with matching FEIN and rating bureau ID with effective dates from 3/3/08 to 8/29/08.

Submission Matching Based on Effective Dates within One Year and 90 Days of New Submission's Effective Date

For submissions with the following statuses, the clearance search is also based on the effective date of the new submission being within one year plus or minus (+/-) a configurable number of days (90 is the default) of the effective date of the existing submission:

For example, if the new submission has an effective date of 8/1/08, the clearance search will return any submission with matching FEIN and rating bureau ID for existing submissions with Effective Dates from 5/3/07 to 8/1/08.

To check clearance for a submission:
  1. From the Overview tab for the submission click Check Clearance under I want to. A confirmation window appears to indicate whether the submission matches another submission in the system.
  1. Click OK. If the submission does match an existing submission, you may want to contact the Insured or the Carrier for more information. If the submission does not match another submission in the system, you can complete the Application tab and submit the submission for underwriting.
