The Application tab for a submission includes the application forms for the submission. A separate set of forms appears for each product for which coverage has been requested. Only the forms for the products you selected on the New Submission window appear.
A list of forms displays in a Form Viewer pane to the left of the open form, and the currently selected form displays to the right of the list of forms. Users can navigate through forms by selecting the form from the left pane or by clicking the arrow buttons (<or >) on the form header. Users can also collapse the form list on the left by clicking the left arrow (<) next to the list and can display it again by clicking the right arrow (>) that appears in place of the list.
Users can also search for forms by name by entering text in the Search field that displays above the list of forms.
Some forms might have hidden components that can be displayed dynamically. To display all hidden components on a form, place the cursor in the form and use the key and mouse combination Shift-1-click. A pop-up titled, Form Variables and Hidden Fields shows the hidden components and includes:
Red asterisks () on a tab header indicate that required fields remain on that tab. Click that asterisk icon to move to the next incomplete required field on that tab. Each required field has a red asterisk (*) next to the display label. When a required field is complete, a green check mark (
) replaces the red asterisk.
Fields that are required for quoting (but not submittal) do not display as required until after the application is submitted. When you submit, Geaux displays a notification that additional required fields must be completed for quoting, and the red asterisks then appear next to the required fields for quoting.
Green check marks () on a tab header indicate that all required fields on that form are complete (or there are no required fields on that form)
Periodically, the forms on an Application tab may be upgraded. When they are, Geaux notifies you through a pop-up window when you open the submission that the forms have been upgraded. You may therefore need to provide more information after you initially complete the forms.
If you have a Draft submission, you can access the Application forms by clicking the Application tab or by clicking Complete Application under I want to on the Overview tab. (Geaux automatically saves the application data whenever you tab out of a field.)
To display a specific application form, click the form name in the Form Viewer pane. Then, complete the items for which you have information. Required fields are indicated with a red asterisk (*). As you complete the forms, the content of each field is saved automatically when you navigate out of the field. Any invalid entries are highlighted in red. Completed, valid fields are marked with a green checkmark.
Rows that include a grayed-out red asterisk are required only if any field in that row is completed. You do not have to complete any of those fields, but if you complete one, you must complete all of them.
Note: If you have selected an item in a radio button group field, including Yes/No questions, and would like to deselect the entry (leaving no answer for that question), press Ctrl while clicking the field.
As you complete the form, you can add notes (either general notes or notes that are linked to specific fields on the form). You can send real-time chat messages to the underwriter and add attachments that provide supplementary information for the submission. You can also review notes, chat messages, and attachments that an underwriter has added to the submission.
When the application is complete, submit it for underwriting.
Note: If the submission does not include a Producer (specified on the Overview tab), the submission will not succeed until you select a Producer. This may occur, for example, if the submission was uploaded through E-Mail Receiver.
After you submit the application, Geaux sends the application to the Carrier user who is associated with you or your Agency/Brokerage for clearance. After a submission is cleared, it is assigned to an Underwriter. The submission moves into the Submitted section of your Home tab, and the What's New area indicates that the Carrier has received your submission. In addition, the Submission Information on the Overview tab for the submission is updated with the name and contact information for the Underwriter (or other Carrier user) who is assigned to this submission. If the Carrier reassigns the submission to another Carrier user, the new Underwriter or Assigned To user is listed.
If you are submitting the application early but within a range that your Carrier has specified as acceptable for receiving and holding the submission, the submission enters a Submit Pending status. It is still a Draft, but it will be automatically submitted by Geaux when the date specified by for submittal arrives.
After you submit an application, it is locked temporarily. To make changes, including adding attachments, you must select Modify Submission on the Application tab. When you do, the application enters a Changes Pending mode. A Modifications window appears, listing all of the changes you make (including original values and changed values, and types of actions you are taking). The Underwriter can view these changes while you are making them. When you are finished, you must submit the modifications, and the Underwriter must acknowledge them before quoting the submission. Even if the submission has a status of Submit Pending, you must use the Modify Submission tool to make changes (for tracking purposes), but in that case, your changes are automatically accepted by Geaux.
